Fees & Accounts
Set your fees once. Classtrail invoices each family, matches payments from your bank statement and charges late interest by your school's rules. Every charge shows its sum, so a parent can check it in a minute.

Chat & safeguarding
Learners, parents and teachers talk inside Classtrail. Messages cannot be edited or deleted by anyone, every conversation is kept for your retention period, and an administrator can export one for a dispute.

The optional AI Tutor answers only from the school's lessons and guides learners step by step. Only the question and the lesson are sent to the AI. Names, numbers and contact details are removed first, and parents give separate consent.

Yes. Learner records are stored on servers in Johannesburg, with off-site backups in another South African city. Your learners' data never leaves South Africa. The only thing that goes elsewhere is what the optional AI features send, and only if your school and the parent switch them on.
Core is one flat monthly price for your school, set by size band (up to 50 learners: R1,250 a month; 51 to 200: R2,450 a month; 201 to 600: R4,450 a month; 600+: on request). There is no per-learner line on the invoice, and parents, teachers and admin users are always unlimited. When you move into the next band, the new price starts at your next billing month.
AI credits pay for the AI Tutor and AI marking. A tutor question uses about 2 credits and a marked written answer about 5. Bundles start at R250 a month for 1,000 credits, with spending caps per learner and per month, so there are no surprise bills. Auto top-up only happens if your school turns it on.
No. Use your own Microsoft Teams, Google Meet or Zoom account. Connecting it is included in Core: Classtrail schedules the calls from the timetable, sends the join links and records attendance. The built-in Live Classroom, hosted by us in South Africa, is the only item priced by usage.
No. Classtrail runs in any modern browser on a laptop, tablet or phone, and everyone signs in with their email address. The interface is available in English and Afrikaans.
Any curriculum and any exam board: CAPS, IEB, SACAI, Cambridge and Pearson Edexcel, or a mix of streams in one school. Terms, grades, subjects, tiers and assessment rules are set per school.
Yes. Lessons in the material library can link to outside resources and videos next to your own material. Learners open them from the lesson and mark it done, and the pacing plan moves on.
Yes. Send us your learner lists, family details, classes and fee balances in Excel or CSV and we import them for you during set-up. Exports are SA-SAMS friendly.
For the AI Tutor, only the learner's question and the lesson they are working on. For AI marking, only the question, the memo and the answer. No names, ID numbers, marks or contact details are sent, and names and numbers typed into a question are removed first. Teachers approve every AI-suggested mark before anyone sees it.
Your school becomes read-only for a month so you can export everything: learner records, marks, conversations and statements. After that we delete your data, and we tell you before we do.
